Turn bookkeepers' receipt photos into review-ready spreadsheets

Small bookkeeping firms and small businesses send you receipt photos and invoice PDFs, and an AI workflow turns them into a clean spreadsheet with gaps flagged and invoices sent for approval. They pay a setup fee and a monthly fee.

The hard part: getting the pulled-out numbers accurate enough that bookkeepers trust them, and finding firms willing to try a new process.

Who pays

Small bookkeeping firms and small businesses pay a one-time setup fee to build the workflow around their files, plus a monthly fee for running and supporting it. AIMoneyLabAI suggests this setup-plus-monthly model, but no source reports revenue from it, so any pricing is a suggestion.

How to build it

  1. Agree on the spreadsheet columns

Sit down with one bookkeeping firm and agree on the exact columns they want, such as date, vendor, total, tax, category, and payment method.

  2. Set up one drop-off point

Give the client a single place to send files, such as a Google Drive folder or a dedicated Gmail address, for receipt photos and invoice PDFs.

  3. Read each file with AI

Build an n8n workflow that sends each new file to Claude, which can read images and PDFs, and asks for the agreed fields back in a fixed format. Nanonets plus Zapier is another way to do this step.

  4. Log rows and flag gaps

Write each result as a row in Google Sheets, add a link to the original file, and mark any row with a missing or unclear field for a person to check.

  5. Send invoices for approval

Have the workflow email each invoice to the right approver with the key details. Record their answer in the sheet.

  6. Check the batch and bill

Spot-check flagged rows against the originals before handing the sheet over. Collect the setup fee and the monthly fee through Stripe invoices or Payment Links.

Johnny1Tube says a bookkeeper does not need another AI app, but needs 30 receipts turned into a review-ready spreadsheet. The poster calls it a real service with a buyer, an input, a deliverable, and an obvious quality check, and says the buyer could be a small bookkeeping firm that receives receipts as photos.
